The Essentials: Rehearsal to Reception

Service Description
The service will commence two months before the wedding day. The Wedding Coordinator will work directly with clients to build the ceremony information sheet and detailed wedding timeline. Set up everything as needed for the wedding reception area and/or wedding ceremony preparation. On the day of the wedding, contact all vendors. All ceremony directing responsibilities. After the ceremony, assist as needed with directing guests to the reception area. All reception responsibilities, including: Announcements in reception Assist with the DJ/Musicians/Band on all First Dances, toasts, speakers, and prayers. Dinner release for tables. If the reception is buffet-style, assist in ensuring all tables have the correct meals. Cake Cutting - Serving cake to seated guests. Send-Off - If applicable. Additional requests completed by clients as needed within the allotted time booked. Clean-up services are not provided as part of this coordination package. We recommend assigning a clean-up crew or confirming those responsibilities with your venue or vendors.
Cancellation Policy
The following policies will be outlined in the formal contract created between the Client and Harleigh Hussey Wedding Coordination: Payment Terms The Client agrees to follow the payment schedule as outlined in the finalized contract. Invoices will be provided as payments come due, and receipts will be issued upon payment completion. Deposit & Payment Schedule An initial deposit of $150 is required upon signing to secure coordination services. The remaining balance will follow a structured payment schedule, detailed in the contract. All fees must be paid in full no later than two weeks before the wedding date. Any additional services (such as travel, extended hours, or custom add-ons) will be invoiced separately and included in a signed addendum. Accepted Payment Methods Payments may be made by cash, check, or approved digital platforms (e.g., PayPal, Venmo, Cash App, Chime), as agreed upon in the contract. Refund Policy Refunds will follow the terms outlined in the cancellation section of the contract. Cancellation by Client Cancellations made more than two months prior to the wedding date may be eligible for a refund, as outlined in the contract. Cancellations within two months of the wedding date will result in forfeiture of all payments made. Cancellation by Coordinator Should the Coordinator need to cancel, a minimum of three months’ notice will be provided. All payments made by the Client will be refunded, and assistance will be offered in securing a suitable replacement, if possible. Rescheduling The Coordinator will make every reasonable effort to accommodate rescheduling requests. A rescheduling fee may apply. If the new date is unavailable, the cancellation policy will remain in effect. Force Majeure Neither party will be held liable for failure to perform due to circumstances beyond their control (e.g., natural disasters, illness, emergencies). In such events, both parties will work together to find a reasonable solution. Notice of Cancellation All cancellations must be submitted in writing. The cancellation will take effect on the date the notice is received by the Coordinator.
